Co-op Student – Administrative Support Assistant

Public Works – Engineering Technical Services

Contract Full-Time; 8 Months (May 05, 2025 – December 31, 2025)

Hourly Rate: $23.05/hour

 

Work Mode: On-site

Location: 2 Copper Road, Brampton

Hours of work: 35 Hours per week

 

Mandatory Requirements:

  • Must be enrolled in a university or college co-op program and returning to your studies after your work term.
  • Legally authorized to work in Canada for the full duration of the 8-month term.

Position Summary:          

Reporting to the Foreperson of Construction Inspections, you will provide clerical support to the staff and Supervisor of Engineering Technical Services including typing, filing, preparing forms, inputting daily timesheets, arranging and confirming appointments and meetings, preparing requests for cheques and invoices, and maintaining confidentiality regarding reports, studies, etc. You will also assist in receiving and answering/directing telephone inquiries as applicable and researching information regarding construction projects.

 

What you will do in this role:

  • Manage computer payroll system including daily input of timesheets, preparing biweekly reports and exporting to Finance Department.
  • Prepare journal entries for approval by the Supervisor.
  • Maintain vacation records and sick leave for ETS staff.
  • Maintain purchase order (i.e. office supplies) records and coordinate flow of invoices for approval.
  • Provide general office duties including the typing of letters and technical reports as assigned by the Foreperson, Supervisor, or staff of the ETS Section.
  • Maintain and reconcile P-Card purchases and financial reports for the Supervisor’s or Manager’s approval.
  • Provide customer service to internal and external clients regarding construction projects.
  • Prepare agenda and minutes for sectional staff meetings.
  • Printing and scanning of engineering drawings and related contracted documents.
  • Prepare water interruption notices to be sent out to internal and external clients.

What the role requires:

  • Must be enrolled in a university or college co-op program and returning to school the following year.
  • Must be able to work the full term.
  • Strong ability to multi-task and prioritize assignments.
  • Strong keyboarding and computer skills (including MS Word, Excel, Outlook)
  • Some specific, short-term, practical training may be required.
