Coordinator, Financial Payments

Public Works – Water & Wastewater

Regular Full-Time

Pay Band: $67,772 - $84,714 per annum.

 

Work Mode: In this role, you’ll benefit from the flexibility of a hybrid work arrangement that prioritizes meaningful in-person connection. A minimum of two days per week on-site is expected, with additional in-person presence as operational needs evolve. This arrangement allows for a blend of in person and hybrid work that adapts to support both organizational priorities and employee flexibility and is subject to change over time.

Location: 10 Peel Centre Drive, Brampton

Hours of Work: 35 hours/week

Peel Region's Water/Wastewater Engineering Services is a dynamic and innovative team responsible for planning, designing, constructing, and operating a comprehensive range of water and wastewater infrastructure across the region. The role:

Reporting to the Manager of Wastewater Collection and Conveyance Engineering, the Coordinator provides senior administrative and technical support to the Manager, Program Managers, Project Managers, and Technical Analysts, with a focus on assisting with project financials, accounting, and payments.

 

What you’ll do in the role:

  • Process vendor payments (payment certificates, holdbacks, invoices), ensuring accuracy by thoroughly reviewing and performing/verifying calculations to eliminate errors, while ensuring adequate back-up/documentation is provided. (e.g. WSIB, clearance certificate, substantial performance documents, etc.)
  • Develop, update, and maintain detailed financial spreadsheets for project budgets, expenditures, and reconciliations.
  • Monitor spending and flagging when budgets are nearing their limits, proactively checking in with Project Managers about potential increases, and conducting ad hoc reviews to prevent overspending.
  • Track and initiate project close-outs, ensuring completion by coordinating with Procurement and the Financial Support Unit (FSU) to start and manage the workflow process, or follow up to confirm completion if requested by others.
  • Liaise with senior financial analysts, accounts receivables, payables and purchasing on various financial related matters.
  • Generate and format reports for monthly meetings or on ad hoc basis for Manager.
  • Assists with tri-annual and year-end projections and reporting, with a focus on accruals and cash flows.
  • Monitor POs and vendor contracts (VCs) using the PO/VC dashboard, collaborating with Project Managers and request timely extensions or closures.
  • Generate purchase order (PO) requisitions, requests for cheques/invoices and journal entries.
  • Track and initiate project name changes and close-outs, coordinating with project managers/management and the Financial Support Unit (FSU) to start the workflow process, ensuring completion.
  • Provide back-up coverage for Assistant Technical and other coordinators within the Division, during vacation/absences.
  • Performs other duties as assigned.

What the role requires:

  • Degree/Diploma in Accounting, Financial Management or Business Administration, plus a minimum of 5 years related experience.
  • Excellent verbal and written communication skills to interact effectively with staff at all levels.
  • Strong mathematical aptitude, information gathering and problem-solving skills with demonstrated financial experience.
  • Strong proficiency in Excel, including the use of advanced formulas and data analysis tools.
  • Strong organizational and effective and efficient time management skills.
  • Ability to work in a self-directed manner within a collaborative team environment.
  • Knowledge of Municipal financial processes/procedures and project management needs would be an asset.
