We’re currently seeking an experienced and highly skilled Executive Assistant to the Commissioner — someone who thrives in a fast-paced, high-impact environment and brings both strategic foresight and tactical execution to a critical support role. As the Executive Assistant to the Commissioner Legislative Services, you will be the central point of contact for the Commissioner’s Office, ensuring smooth operations, seamless communication, and high-level coordination across the department and with internal and external stakeholders. You’ll provide confidential executive-level support, guide and align divisional administrative teams, and play a key role in shaping departmental leadership efficiency.
You will lead with purpose, offer sound judgment, and bring forward a service-first approach — all while contributing to projects that matter to the community and mentoring the next generation of administrative professionals.
Champion Coordination & Support: Serve as the trusted advisor and administrative lead to the Commissioner and department leadership team, managing schedules, briefings, and communications with discretion and accuracy.
Deliver High-Level Executive Support: Prepare and manage correspondence, memos, reports, and presentations. Maintain efficient systems that ensure timely action and compliance with corporate standards.
Lead Office Operations: Coordinate policy updates, council reports, and internal communication processes. Maintain personnel and performance records for the departmental leadership team.
Drive Administrative Excellence: Provide day-to-day oversight, mentorship, and alignment of departmental administrative teams, promoting a culture of service and collaboration.
Coordinate Political and Stakeholder Engagement: Plan and manage interactions with Regional Councillors, residents, community partners, and external boards to support strategic priorities, events, and public engagement.
Manage Financial and HR Administration: Oversee procurement, expenses, and financial reporting. Coordinate HR documentation and assist in the recruitment and onboarding of key administrative staff.
Advance Strategic Projects: Support corporate initiatives and manage cross-functional projects that enhance service delivery, operations, and administrative functions across the department.
Enable Technology & Change: Act as a Digital Champion and departmental liaison for technology updates. Maintain document workflows including DocuSign and electronic recordkeeping.
Lead by Example: Influence a culture of continuous improvement, equity, and integrity, offering reliable leadership in a complex and politically sensitive environment.
Post-secondary education in administration or related field with at least 5 years of executive-level support experience in a complex, high-profile environment. Combination of education and experience may be considered,
Political acuity and strong understanding of regional government functions, systems, and procedural frameworks.
Exceptional interpersonal skills and the ability to build trusted relationships with senior leaders, elected officials, staff, and the public.
Strong organizational, analytical, and communication skills, with a proven ability to juggle competing priorities and meet critical deadlines.
Proficiency in MS Office Suite, SharePoint, SAP, HRMS, and digital tools used to support administrative and governance functions.
Experience mentoring or guiding administrative teams and driving alignment across divisional support functions.
High level of professionalism, integrity, confidentiality, and discretion in all interactions.

In this role, you’ll benefit from the flexibility of a hybrid work arrangement that prioritizes meaningful in-person connection. A minimum of two days per week on-site is expected, with additional in-person presence as operational needs evolve. This arrangement allows for a blend of in person and hybrid work that adapts to support both organizational priorities and employee flexibility and is subject to change over time.
It's important to note that your off-site work location must be within the province of Ontario. This ensures that we're compliant with all regulations and policies.
