Coordinator, Immunization Clinics

Health Services – Public Health – Immunization Services Division/Clinic Operations

Status: (2) Contract Full Time (Contract End Date: March 31, 2026)

Salary Range: $61,368 - $76,710

Hiring Range: $61,368 – $69,039

Work Mode: On-site

Location: 7120 Hurontario St., Mississauga and various Immunization Clinics throughout Peel Region (Brampton, Mississauga, and Caledon) 

Hours of Work: 35 hours per week

Core public health functions are assessment and surveillance, health promotion and healthy policy development, health protection, disease prevention and emergency management.

 

What you will do in this role:

As the Coordinator, Immunization Clinics, you will play a multi-functional role with responsibilities that are essential to the successful coordination of vaccination clinics. This includes liaising with school administrators and community partners, gathering, documenting, and protecting confidential health information, and ensuring the efficient flow of materials, supplies, and people in and out of the clinics. You will also collaborate closely with public health and school staff to ensure clinic layouts, schedules, and timelines are met—maximizing clinic capacity while prioritizing the safety of all residents. Additionally, you will:

  • Work with internal teams, school administrators and other community partners to schedule vaccination clinics, provide information regarding requirements, and respond to scheduling conflicts
  • Respond promptly, efficiently, and accurately to public and staff inquiries, including requests for immunization record information from parents/guardians and clinic staff
  • Handle confidential health information (immunization consent and dosage information documents), including filing and inputting consolidated immunization health records into the provincial data base
  • Practice effective vaccine storage and handling principles, by organizing the vaccines and vaccine inventory, including maintaining vaccines in cold chain range and having the knowledge to act when vaccine is outside the required temperature range in all clinic settings
  • Support supply management for all flagship and community in collaboration with vaccine management, including driving immunization supplies to-and-from immunization clinics using personal vehicle
  • Investigate issues to identify potential impacts on clinic flow, function and outcomes and proposes solutions to problems
  • Work with clinic staff and school personnel /community partners to coordinate the vaccination clinic effectively to maximize clinic capacity and immunize all eligible students and /or residents in the available time. Understands the principles of effective clinic flow and resolves issues to maintain flow
  • Knowledge of program equipment, including product use and maintenance
  • Utilize all data management systems, including Power BI, CHR, CoVax, Panorama, Microsoft Word, PowerPoint and Excel files
  • Complete inventory counts for ancillary supplies, forms and other equipment and provides replenishment numbers needed for the next clinic
  • Contribute to immunization program planning, implementation, and evaluation, including divisional or committee work, as required
  • Transport supplies to clinic, between clinic and at the end of clinic to the main office in Mississauga

What the role requires:

  • Post-secondary education in a related field such as Business Administration, Medical Office Administration, Project Management, or with a minimum of two years experience working with medical records, medical databases or an equivalent combination of experience and education
  • Minimum 1-year experience in public health considered an asset
  • Valid Class G driver’s license and access to a vehicle
  • Knowledge of vaccine storage and handling guidelines
  • Experience with various clinic equipment and technical knowledge of equipment functioning including computers, hubs, data loggers, etc.
  • Occasionally required to lift up to 20lbs

  • Exceptional organizational skills with the ability to work under pressure with minimal direction in a fast paced and changing environment
  • Ability to work as part of a team
  • Proficient time management skills with the ability to work in a deadline-oriented environment
  • Demonstrated facilitation, partnership/collaboration skills, with the ability to multitask
  • Excellent skills in Microsoft Excel, Outlook, Word, PowerPoint, SharePoint and Teams
  • Ability to adapt to frequent changes, demonstrate flexibility and meet the goals of the program
  • Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias

Nice to have:
 

  • Exceptional verbal and written communication. Knowledge of medical terminology would be an asset
  • Knowledge and experience with Peel’s Immunization Clinics models, processes and services is an asset
