Assistant Technical Waste Management Waste Collection & Processing

Public Works - Waste Collections

Status: 1 Full Time Contract Position, duration 22 months

Salary Range: $61,368 to $76,710 per annum plus comprehensive benefits

Hiring Range: $61,368 to $69,039

Work mode and Location: hybrid at 7796 Torbram Road, Brampton

Hours of work: 35 hours per week 

 

The Role: 

Reporting to the Manager of the Waste Collection section of Public Works, this challenging, fast paced position will provide confidential administrative support services and work cooperatively with the divisional management teams to ensure a coordinated and cohesive approach to administrative matters. 

 

What you will do in this role: 

  • SAP and WFS maintenance, which includes section entering Vacation, Lieu, Personal and Sick Leave.
  • SAP superuser for Waste Collection section submitting data information for process leaves, contract begin/end dates, changes to position and process terminations that are to be processed through the Employment Service Centre.
  • Requests Offer Letters through ESC.
  • Submits Offer Letters through ESC.
  • Daily Schedule needs to be prepared and updated daily to be sent out to staff each morning.
  • Reconciles and processes purchasing card receipts for staff in PeopleSoft financial database and submits Pcard forms.
  • Back up to Director’s Administrator when on leave.
  • Runs absence queries in the SAP database.
  • Provides assistance to all Supervisors/Team Leads.
  • Update section Org Chart monthly
  • Assists with letters to residents regarding Waste Collection issues requested by Supervisor and Team Leads.
  • Prepares and distributes agendas and minutes, identifying action items and ensures follow-up by appropriate staff while maintaining confidentiality. Maintains the logging and distribution of Absences/TIL/OT/PA spreadsheets.
  • Coordinates the use of cell phones and computers.
  • Updates section phone list monthly.
  • Orders for new computers and peripherals.
  • Researches and responds to enquiries, managing routine correspondence and requests with a commitment to high standards of service.
  • Types and/or formats professional quality memos, reports, emails, spreadsheets, presentations and correspondence according to regional standards on various topics.
  • Prepares commendation letters for service contract staff.
  • Prepares invoices for garbage tags sold to Brampton, Caledon and Mississauga.
  • Maintains/orders all office supplies, including paper, envelopes, and conducting proper disposal of used equipment.
  • Conducts other office duties as required.

 

What the role requires:

  • Successful completion of a post-secondary administrative studies program plus a minimum of three years relevant experience or an equivalent combination of experience and education.
  • SAP and WFS database knowledge required.
  • Knowledge of People Soft Financials.
  • Advanced MS Office applications, especially MS Outlook, Word, Excel, and PowerPoint.
  • Excellent verbal communication skills to interact effectively with clients at all levels.
  • Strong organizational and effective and efficient time management skills.
  • Detailed-oriented and strong writing skills.
  • Exceptional customer service skills.
  • Strong information gathering, problem-solving and teamwork skills.
  • Ability to work in a self-directed manner within a collaborative team environment.
  • Ability to deal with shifting/changing priorities.
  • Knowledge of the Public Works Department structure, programs and services.

Work Mode & Job Location: In this role, you’ll benefit from the flexibility of a hybrid work arrangement that prioritizes meaningful in-person connection. A minimum of two days per week on-site is expected along with occasional travel to attend site inspections or meetings at Regional facilities or as operational needs evolve. This arrangement allows for a blend of in person and hybrid work that adapts to support both organizational priorities and employee flexibility and is subject to change over time.
